The Constitution of the Kutztown University Medieval Renaissance Club
Article I: Name
Section 1: The name of the Organization shall be the Kutztown University Medieval Renaissance Club, abbreviated as KUMRC. The KUMRC can be informally referred to as Ren Club.
Article II: Purpose
Section 1: To foster an understanding and appreciation of the historical significance of the Middle Ages and the Renaissance and to Further the education of its members, the University and the Public at large in there periods of history by means of providing the following:
Article III: Membership
Section 1: Any current student attending Kutztown University who has paid their Student Activities Fee and remains in good academic and disciplinary standing may become a member of the KUMRC.
Section 2: Any Member of the Club who graduates may join the Club Alumni and participate in Club meetings, as may any non-Kutztown University person (hereafter referred to as Associates) with interests common to those of the Club. However neither Alumni nor Associates may vote for nor hold an executive office. Alumni and Associates may however vote in all other situations. They may also co-chair committees with a current student member.
Section 3: In order to attain an active status, members must attend three meetings or MMRR weekends per semester.
Article IV: Officers
Section 1: The officers shall be know conjointly by their corresponding SCA and SGB titles. Club officers include, in order of rank:
1. Seneschal (President)
2. Deputy Seneschal (Vice President)
3. Scribe (Secretary)
4. Exchequer (Treasurer)
5.Herald (Parliamentarian)
Section 2: These offices shall perform the duties prescribed by this Constitution and Parliamentary authority adopted by the club. Duties and responsibilities of the club’s officers include:

Section 3: The election of officers shall take place in the following manner:
Section 4: Removal of officers shall be an impeachment trail following that the offending member has incurred three strikes against them due to failure to complete their executive duties. The vote of two thirds of student club members and four members of the executive board to have the officer removed.
Section 5: Executive officers may hold only one executive office at a time. They May however Co-chair on standing or special committee.
Section 6: Officers shall be limited to two successive terms in the same office.
Article V - Meetings
Section 1: The club’s regular meeting time and place shall be Thursdays at 8PM unless otherwise voted by club members.
Section 2: All special or emergency meetings shall be called by the Seneschal. The Executive Board and general club membership may also request to call meetings.
Section 3: The quorum to conduct an official club meeting shall be half of the active membership of the club. The quorum to cast votes during a meeting is two thirds active membership of the club. All active club members that are absent are permitted to submit absentee ballots to any member of the executive board.
Article VI – The Executive Board
Section 1: The officers of the club shall constitute the Executive Board.
Section 2: The Board shall have general supervision of the affairs of the club between its meetings make recommendations to the club, and decide on the order of business for each meeting.
Section 3: The Board shall meet at a specific time and place as determined by the general consensus of the Board, unless otherwise ordered by the seneschal.
Section 4: The quorum to conduct an official Board meeting shall be ½ plus 1 he members of the Board.
Section 5: Members to the Board are required to attend ¾ of all club and board meetings unless absent due to an approved excuse (IE: academic requirement, work, ect)
Article VII – Committees
Section 1: Standing committees shall be run by the person elected by club following the Parliamentary Procedure stated by the KUMRCs constitution, with the exception of Acting Committee. In order to be nominated for the position of a committee head the person must be a member of club.
Section 2: The committees of the club shall run as follows:
Weapons Committee
1. The chairperson of the Weapons Committee shall be known as the Weapons Master/Mistress.
2. The weapons Master/Mistress must be at least tier one certified to be nominated. Once they are voted in they must become tier two as soon as possible.
3. The weapons Master/Mistress shall appoint head choreography and head marshal as lead positions in the fight committee. Together they shall oversee the choreography of any stage combat segments of the annual winter dinner theater and Spring Renaissance Faire.
4. The Weapons Master/Mistress shall educate committee and club members on the types and use of period weapons and armor by way of workshops and direct instruction.
5. The current Weapons Master/Mistress has the right to approve or deny the nomination of any future Weapons Master/Mistress based on his/her qualifications, training, and/or maturity.
6. Once a Weapons Master/Mistress has been elected and has taken on their leadership role they can be voted out by a majority vote exec board and fight committee.
Feast Committee
1. The chairperson of the Feast Committee shall be known as the Feastocrat.
2. The Feast Committee shall work in conjunction with the Treasurer in determining the funds to allocated for events.
3. The Feast Committee shall select, shop for, buy, cook and serve the meals for events.
4. The Feastocrat shall instruct club members on the types and use of period food and food preparation by way of workshops and direct instruction.
Acting Committee
1. The chairperson of the Acting Committee shall be known as the Director.
2. The Writer of the club elected script shall appoint a Director for the script
a. The script shall become intellectual property of the current Director in the case of an impeachment
3. The Director shall oversee the casting of the annual Winter Dinner Theater and Spring Renaissance Faire
4. The Director shall be responsible for calling regular rehearsals for the performances at least two to three times a week.
5. Director shall be responsible for keeping informed of cast’s interpersonal relationships.
6. The Director can be impeached by ¾ of cast and 4/5 of the Executive Board no later then one month into the production.
a. Should the Director be impeached the script shall be passed on to the cast, who shall appoint a new director
7. The Director shall Coordinate with Performance groups to enhance Events in a timely manner.
Website committee:
1. The chairperson of the website committee shall be known as the webmaster.
2. The webmaster shall make sure that the Club’s website is up to date for all events and members persona profiles.
Bardic Committee
1. The chairperson of the Bardic Committee shall be known as the Bard.
2. The Bardic Committee shall teach the performance and technique of period vocal and instrumental music.
3. the bardic committee shall co-ordinate music based performance groups to provide entertainment at select club functions and events.
4. The bardic committee shall also compile a collection of period music to be preserved for posterity and used at events.
Public Relations Committee
1. The chairperson of the Public Relations Committee shall be known as the PR Head.
2. The PR Committee shall work in conjunction with the Art Committee and any other applicable committees to publicize club meetings and events to the Kutztown University community and surrounding area.
3. The PR committee shall work in conjunction with the Art Committee to create written materials to be distributed at club events, including but not limited to programs and flyers.
Historical Committee
1. The chairperson of the Historical Committee shall be known as the Historian.
2. The Historian shall assist the Acting and Weapons committees in ensuring that the annual Winter Dinner Theater and Renaissance Faire are historically accurate
3 The Historical Committee shall educate committee and club members on period and club history by way of workshops and direct instruction.
4 The Historical Committee shall work in conjunction with the Scribe/Secretary in chronicling the Club's history for future members.
5. The Historical Committee shall retain old or obsolete records, scripts, properties, and posters for posterity, reference, and future club use.
Dance Committee
1 The chair person(s) of the Dance Committee shall be known as the Dance Master/Mistress.
2. The Dance Committee shall work in conjunction w. the bardic & NOT DRAMA committees to provide entertainment at club functions and events
3 The Dance Master/Mistress shall educate committee and club members in period dance techniques by way of workshops and direct instruction.
4 The Dance Committee shall host and/or join in any outside club functions related to period dance techniques as a way to learn and grow as a committee
Library Committee
1 The head of the library committee shall be known as the Librarian.
2 Their duties are as follows: House and Maintain the Club's private library Assist club members with their information needs Promote the Club's Library and its materials. Provide access for club members to the library and its information
Art
1. The Chairperson of the Art Committee shall be known as the Master/Mistress of the arts.
2. The Art Committee shall be responsible for working with the Executive Board and all other committees for submitting and publishing artwork and graphics to be used in any club publications.
3. The Master/Mistress of the Arts shall educate committee and club members in period art by way of workshops and direct instruction.
Article VII – Advisor
Section 1: The Advisor of the KUMRC shall be a faculty member of Kutztown University, employed by the Commonwealth of Pennsylvania.
Article IX – Parliamentary Authority
Section 1: For decisions Regarding KUMRC one person shall create a nomination. That then must be seconded by a second person. The Club shall then vote Aye, Nay, or Abstain. A majority ruling will decide the vote.
Article X – Compliance
Section 1: The Medieval-Renaissance Club will comply with all rules and regulations as set by the Student Government Board, Kutztown University, and the laws of the Commonwealth of Pennsylvania.
Article XI – Amendments
Section 1: A motion for an amendment must be preceded by an announcement of the motion at the previous club meeting.
Section 2: A vote shall be conducted at the following meeting. An amendment will be passed if there is a majority affirmative vote from the club members.
Section 3: These amendments shall become effective in the KUMRC Constitution upon the approval of the following:

Section 1: This constitution will be finalized by an affirmative majority vote of the Medieval-Renaissance Club, and the approval of the following:

- Call meetings on a regular basis
- Call special emergency meetings and Executive meetings when necessary
- Lead in the planning of agenda for club meetings
- Orally present a Seneschal’s report at each meeting
- Approve chairpersons of standing committees and appoint chairpersons of all special committees with the consensus of the club
- Delegate authority to other Executive officers and/or committee chairpersons
- Represent club members both publicly and privately
- Aid his/her successor to office.
2. Deputy Seneschal/Vice President
The Deputy Seneschal shall
- Assume the duties of the Seneschal in his/her absence
- Assist the Seneschal in handling executive responsibilities
- Aid the Seneschal in the planning of the club’s agenda
- Orally present a Deputy Seneschal’s report each meeting
- Aid his/her successor to office
- In the event that the Seneschal resigns or is impeached, the Deputy Seneschal shall assume the duties of the Seneschal until the next election
- Act as a liaison between committee heads and the Executive Board
- Aid his/her successor to office.
3. Scribe/Secretary
The Scribe shall
- Record all minutes of all club meetings
- post all minutes online and make them available to club members in a timely manner
- Annually publish an updated club directory listing the email, phone (optional) name and persona
- Be in charge of all sign in sheets at every meeting or MMRR
- Keep on computerized and one hard copy of all written materials presented at club meetings and functions
- Orally present the previous meetings minutes at the beginning of each meeting upon request
- Submit a copy of each set of minutes to SGB office
- Aid his/her successor to office.
4. Exchequer/Treasurer
The Exchequer shall
- Supervise the collection and allocation of funds for the club’s account
- Keep accurate and current records of all club funds
- Budget sufficient Funds to cover the club’s activity expenses
- Propose fundraisers when he/she deems it necessary
- Work in conjunction with the Advisor and every committee chair person in dispensing and collecting funds associated with each committee
- Orally present an Exchequer’s report at each meeting
- Aid his/her successor to office.
5. Herald/Parliamentarian
The Herald shall
- Call meetings to order by announcing he start of each meeting
- Maintain Order throughout meetings by ensuring that parliamentary procedure is followed
- Have basic working knowledge of heraldic design
- Have a copy of the club’s constitution and the parliamentary authority with him/her at each meeting
- call officers and chairpersons to give weekly reports as needed
- To officially recognize Club members, Alumni, and Associates who wish to speak
- Aid his/her successor to office.
Section 3: The election of officers shall take place in the following manner:
- Candidates shall be nominated at the last club meeting of the Fall semester.
- Any active student club member, with a semester and cumulative GPA of at least 2.5 on a 4.0 scale may be eligible to run for office.
- All Nominees must attend all Executive Board meetings for half of the Spring Semester.
- Elections shall take place the meeting before Spring Break, at which time the elected candidates shall assume the powerless role of apprentice to their future office.
- Current officers shall train their respective apprentices in the duties of his/her office.
- The officers shall be elected by ballot to serve for one academic year, or until their successors are elected and their term of office shall begin in the Fall semester.
- The terms of officers shall expire at the conclusion of each academic year.
